Challenge

On the one hand, Synfit wanted to accompany its new members in a largely automated manner in the process of certification (seal of approval from Synfit334 as a “Prevention”-certified studio/practice) of their own studio and, on the other hand, to offer a platform for support in companies with Health Management acquisition for these members.

Specifically, Synfit’s goals were:

  • Customer support via a CRM system (single point of truth)
  • Integration of a member area into the existing website for operators of fitness studios
  • Automated creation of access to the member area
  • Generation of automatically prefilled contracts
  • Data entry in the member area (WordPress) and
  • Data management in CRM (bidirectional interface)
  • Automation of data synchronization
  • Email Automation
  • Automated customer reporting in HubSpot

Many processes should be automated and, above all, initiated by the customer.

Growth Ninjas Solution

HubSpot was implemented as the central data management system – from lead generation, automated contract creation, customer closure to generating access for the admin area in WordPress. All automated steps are controlled in the communication between the systems via specific deal phases.

In addition, we have implemented a dedicated member area for Synfit directly on the WordPress website that can read data directly from HubSpot or write certain data back to HubSpot.

Since there was no native (at least sufficient) WordPress integration – let alone one with custom user management that can be triggered directly from HubSpot’s deal stages – we built a “custom integration” for Synfit. In this way, we have retained the flexibility to implement further functionalities and automations here at any time.

Project result & customer benefit

The two main added values for Synfit management were:

Optimized data management
When data is distributed across multiple platforms, it can be a challenge to keep track of data flow and data quality. Synfit now has all data in one system and HubSpot is the single source for all customers, certifications and reports.

Increased efficiency
With our custom integration, Synfit can complete tasks within HubSpot and no longer have to switch between different tools. This saves a lot of time and increases efficiency, allowing employees to focus on other important tasks and take advantage of the data quality.

At Synfit, just 1 employee in service and 1-2 employees in sales can manage over 200 leads and almost 100 customers – this shows very clearly how much time can be saved with HubSpot as a “single source of truth” on data and a fully automated member area/certification process.
